Introduction

This Privacy Policy explains how I collect, use and protect personal information when you visit my website, book sessions, or communicate with me. I am committed to safeguarding your privacy in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. By using this website or providing your information, you agree to the terms of this policy.

What Data I Collect

I may collect and store the following types of personal data:

Contact information: name, email address, and any other details you provide through my website contact form, by email, or via WhatsApp.

Client sign-up information: when you register as a new client (via a secure online form), I collect details such as your name, date of birth, and where applicable your address, along with general information about what you'd like to work on together. Depending on what you choose to share, this may include personal details relevant to your coaching goals.

Testimonials: if you choose to submit a testimonial (via a secure online form), I may collect your name, role, and the content of your testimonial. I always ask for your consent before publishing anything, including whether your name is used, and you can ask me to remove or anonymise it at any time.

Coaching conversations: sessions may touch on a broad range of personal topics relevant to your goals and wellbeing. I don't keep a separate record of specific health details; any notes I prepare after a session are sent directly to you by email rather than stored in a separate system.

Payment details: I don't collect or store any payment or financial information myself. Payments are processed entirely by a third-party provider, who handles that data under their own privacy policy.

Website analytics: anonymous data collected through cookies and third-party analytics tools to understand site performance and usage.

Email preferences: if you sign up for newsletters or updates.

How I Use Your Data

I use personal data to:

Communicate with you about enquiries, bookings, and coaching services

Deliver services and process payments

Maintain client records and manage sessions

Send optional newsletters or updates (only with your consent)

Improve the website and user experience

Legal bases for processing:

Performance of a contract (e.g. delivering coaching services)

Consent (e.g. for newsletters, marketing emails, or anything sensitive discussed and recorded during coaching)

Legitimate interests (e.g. website analytics, business improvement)

Legal obligation (e.g. accounting or record-keeping requirements)

Data Storage, Security & Sharing

Your data is stored and processed through a small number of trusted third-party services, including:

Third-party email and document tools for communication and intake forms

A calendar/booking tool for scheduling sessions and calls

WhatsApp, for client support between sessions

A third-party payment processor for handling payments — I do not handle or store payment details directly

An email marketing service, if you're subscribed to my newsletter

Web hosting and analytics providers

My website, hosted on a secure third-party platform managed by my web developer

These third parties act as data processors and are required to handle your data securely and lawfully. I do not sell or trade your personal information.

I take reasonable steps to protect your data from unauthorised access, alteration, or loss. Please note that no online system can guarantee absolute security.

Cookies and Analytics

This website uses cookies and analytics tools to:

Understand how visitors use the site

Improve content and user experience

Enable certain site functions

Cookies are small text files stored on your device. You can disable cookies at any time through your browser settings, but some parts of the site may not function properly. Analytics data is processed in an anonymised form and does not personally identify you.

Marketing Communications

If you sign up for newsletters, free resources, or updates, your name and email address will be stored in my mailing system. You can unsubscribe at any time using the link in any email or by contacting me directly. I will only send marketing communications with your explicit consent.

International Data Transfers

Because some of the third-party services I use (including WhatsApp) operate internationally, your data may be processed outside the UK or EEA. These providers are required to use adequate safeguards (such as Standard Contractual Clauses) to protect your information.

Data Retention

I retain contact and coaching-related information (such as names, email addresses, and general notes on our conversations) indefinitely, unless you request deletion. This allows continuity of service should we work together again in future. I do not hold financial or payment records myself — these are handled entirely by my payment provider. You can request deletion or anonymisation of your data at any time (see Section 9).

Your Rights

Under the UK GDPR you have the right to:

Access a copy of the personal data I hold about you

Request correction of inaccurate data

Request deletion of your data ("right to be forgotten")

Restrict or object to processing

Withdraw consent for marketing communications

Lodge a complaint with the Information Commissioner's Office (ICO) if you believe your rights have been violated: www.ico.org.uk

To exercise these rights, contact me at [email protected].

Updates to This Policy

I may update this Privacy Policy from time to time to reflect legal or operational changes. The latest version will always be available at www.charliwitts.com/privacy-policy.
